Guidelines for Presenters

Guidelines for Oral Presentations

 

Each presenter will have 4 minutes for their presentation, followed by up to 1 minutes for questions and discussion

Oral Presentations will take place in the Plenary Hall. 

Questions and Discussion 

After each presentation, there will be up to 1 minutes for questions and discussion. Please answer questions briefly and clearly, allowing time for discussion within the session schedule. 

Preparing Your Presentation 

Please prepare your presentation in English. We recommend keeping slides clear, concise and visually accessible. As presentation time is limited, please focus on the key objectives, methods, results and conclusions of your work. 

Presenters are encouraged to rehearse their talk in advance to ensure that it fits within the allocated 5-minute time slot. 


Presentation Content 

The first slide should include the presentation title and the presenter’s name. The second slide should include a disclosure statement. If you have no conflicts of interest to declare, please state: “Nothing to disclose”. 


Slide Format and Technical Requirements 

Please use PowerPoint format (.pptx) and a 16:9 widescreen layout

To avoid technical issues, please ensure that all fonts, images, videos and audio files are embedded correctly. Linked media files may not play properly on the congress presentation system. If your presentation includes video or audio, please test it in advance and inform the organisers when submitting your file.

Changes After Submission 

If you need to update your presentation after submission, please upload the revised file using the same upload link. Add the suffix 2 to the file name, for example Smith1430_2.pptx, and notify the Congress Secretariat by email at info@conferencemasters.eu

USB sticks will not be accepted at the technical desk for presentation updates. The technical team will use the latest uploaded version received via the official upload link. 

On the Day 

Presenters should arrive at the Plenary Hall well before the start of their session and introduce themselves to the session chair or technical team. 

A lectern, clicker, pointer, presentation timer and microphone will be available for presenters on stage. A presenter monitor will also be provided, allowing speakers to follow their presentation and view their notes. Presentations will be launched by the technical team from the technical desk. 

Please note that presentations will be run from the congress presentation system. The use of personal laptops during the session will not be possible. 

Before their session begins, presenters are asked to gather in the designated area in front of the stage. This will help ensure smooth transitions between presentations. 

Please note that the presentation time will be strictly monitored. The chair may interrupt presentations that exceed the allocated time to ensure that the programme remains on schedule.

Guidelines for Poster Presentation

General Information

All posters at the ISD-DE 2026 Congress will be presented in electronic poster (e-poster) format. Authors must prepare their posters as a single-slide PowerPoint presentation designed for display on widescreen monitors.

Authors are responsible for ensuring their submission meets the technical and content requirements below.

Presenters are required to deliver a brief oral presentation of their poster during the poster session (2 minutes), followed by 1 minute for questions.

Authors must upload both files.

Poster layout

  • One slide only
  • Landscape orientation
  • Widescreen format 16:9 ratio

Electronic posters should be designed for optimal viewing on digital screens.

File size

  • Maximum file size: 40 MB

File naming convention
Files must be named using the following format:

FirstAuthorSurname.pptx
FirstAuthorSurname.pdf

Example:
Smith.pptx
Smith.pdf

Using the same file name for both versions is required for submission.

Poster Content Structure

Posters should present information clearly and concisely. Recommended section formats are:

For Research Studies / Audits

  1. Title and authors
  2. Introduction / Background
  3. Methods
  4. Results
  5. Discussion
  6. Conclusions / Significance

For Case Reports

  1. Title and authors
  2. Clinical history
  3. Clinical findings
  4. Management
  5. Outcome / results
  6. Conclusions

Sections should be concise and visually accessible.

Design Guidelines

To ensure readability and effective communication:

Text

  • Keep text brief and clear
  • Maximum 6 bullet points per section
  • Avoid long paragraphs
  • Use fonts readable from close viewing distance
  • Avoid using ALL CAPITAL letters

Background

  • Use plain backgrounds
  • Ensure strong contrast between text and background
  • Avoid decorative borders or distracting graphics

Figures and Tables

  • Use charts and graphs where possible
  • Images should be high resolution
  • Ensure legends and labels are clearly readable

These practices improve readability and viewer engagement.

Multimedia Content

Multimedia elements are allowed if they meet the following criteria:

Video

  • Maximum duration: 30 seconds
  • Must be embedded within the slide
  • Should run automatically on loop
  • No audio

Animation

  • Allowed (e.g., animated charts or scrolling text)
  • Must run automatically
  • No user interaction available

Internet links

  • External internet or HTML links are not permitted.

Submission Process

Authors will submit posters through the link: HERE

Submission requirements:

  • Upload one PowerPoint file
  • Upload one PDF version
  • Both files must follow the naming convention
  • Authors may upload revised versions until the submission deadline

Failure to submit by the deadline may result in removal from the scientific programme.

Good Practice Recommendations

To produce an effective e-poster:

  • Focus on visual communication rather than dense text
  • Prioritize figures, graphs, and images
  • Highlight key findings clearly
  • Keep messages concise and structured
  • Remember the principle: “Less is more.”
Presenting author and registration
  1. The presenting author must register as an active participant at the conference at the latest 21 days after acceptance of an abstract.
  2. ISD-DE 2026 Scientific Committee reserves the right to exclude any abstract from the scientific programme that is not followed by a participant registration at the latest 21 days after notification on acceptance, with no further notice.
Types

When submitting your abstract, you will be asked to indicate your preferred presentation format. You may choose between an Oral Presentation or a Poster Presentation. Please select the option that best suits the nature of your work and your presentation preferences.

Contents of your abstract
  1. The abstract word limit is max. 300 words per abstract.
  2. The title should be as brief as possible but long enough to clearly indicate the nature of the study.
  3. No identifying features such as names of authors, hospitals, medical schools, clinics or cities may be listed in the title or abstract text, as a “blind” review process will be used. You will be asked to enter the name(s) of author(s) and their institution(s), when you submit your abstract online.
  4. The abstract must include the following:
    • Introduction and Objective: Clearly state the purpose of the abstract.
    • Methods: Describe your selection of observations or experimental subjects clearly.
    • Results: Present your results in a logical sequence in text, table and illustrations.
    • Conclusions: Emphasize new and important aspects of the study (perhaps as a discussion section) and the conclusions that are drawn from them.
  5. All abbreviations must be defined in first use.
  6. Data previously published will not be accepted.
  7. Do NOT include references, credits, or grant support.
Reviewing
  1. The Scientific Committee will review the abstract.
  2. Notification of acceptance or rejection of the abstract will be sent directly to all presenting authors by email.
  3. It is the responsibility of all investigators that all studies are performed with respect to national legislation, international legislation and ethical guidelines for medical research involving humans and/or animals. The ISD-DE 2026 Scientific Committee reserves the right to reject any submitted abstract that is believed to violate these principles.
  4. Please verify that your email address (submitter and presenting author) is correct as it will be used for contacting you after the review process.

ORAL PRESENTATIONS 

Free Paper Presentation 

Each presenter will have 4 minutes for the presentation, followed by up to 1 minutes for questions and discussion. Presentations will take place in the plenary hall and are suitable for research-based studies or complex clinical topics. 
   

POSTER PRESENTATIONS 

E-Poster Presentation / Presented Posters 

E-Posters will be presented in a designated poster area with a 2+1-minute oral summary during specific time slots. Posters are grouped by topic, and each session is moderated.
